1. Welcome and introductions
The meeting was called to order at 7:35 a.m. by Jonathan Franklin, Chair of ARLIS/Canada and Canadian Representative to the Executive Board of ARLIS/NA. Jonathan introduced Max Marmor from ARTstor. Max urged us to get in touch with him to recommend Canadian content for ARTstor. ARTstor is predisposed to image collections that are already digital. They are interested in contemporary art and have worked successfully with art schools. Karen McKenzie asked about aritsts fees and copyright issues. This will be investigated. Karen reminded us that there are two distinct cultures in Canada and Liv Valmestead asked that we remember to include native arts.
2. Adoption of the agenda
Ilga Leja moved and Karen McKenzie seconded the motion to approve the agenda.
3. Approval of the minutes of the ARLIS/Canada members meeting, April 4, 2005 in Houston.
Karen McKenzie moved and Sheila Wallace seconded this motion.
4. Business arising from the previous minutes.
There was none.
5. Banff Conference Update
Jonathan reviewed his four previous trips to Banff and acknowledged the achievements of the Conference organizers.
Marilyn Nasserden, Local Conference Planning Committee Chair, thanked all of the volunteers and friends at the University of Calgary who had helped to make the conference a success. Final registration was 469. Free workshops were popular and well attended, they were almost all full. Marilyn asked that we all fill out the evaluation forms and comment on workshops. This conference was one day shorter and included more free events than previous ARLIS conferences. The organizers learned a lot about fund raising. Tours and morning walks were popular. The Calgary tours will break even, but did not sell out. The silent auction was a great success. The copyright workshop was very popular. Wanda Noel was very impressive. Marilyn urged the art libraries community to set best practices guidelines regarding copyright, which was recommended by Ms. Noel. This is the best defense against copyright infringement actions. ARLIS/Canada, possibly with the assistance of the Canadian Heritage Information Network (CHIN) will be applying for a grant and start a focus group to work on these guidelines.
Christine Sammon, Exhibits Coordinator, reported that though the number of exhibitors was slightly down from previous years, they were well pleased with the set-up this year.
6. HAL
Jo Beglo reported on the launch of the web publication of Essays in the History of Art Librarianship, sponsored by the National Gallery of Canada. This is the tenth anniversary of ARLIS/CANADA and its first national project. Jo presented the website and described the contents of the publication. She thanked the sponsors, asked the authors to stand and advised us to take a poster advertising this website.
7. Report from the Chair
As time is short, Jonathan referred to the report of the Canadian Representative on the ARLIS/NA website.
8. Chapter reports
Montreal/Ottawa/Quebec Wolfgang Noethlichs thanked the organizers for a wonderful conference. Membership in the chapter has declined. 2005 membership was 43 and in 2006 there were 39 members. Efforts are underway to recruit at library schools. The spring meeting was held at the Canadian War Museum on June 3, 2005. The fall meeting was held at the new public library building of the Bibliotheque nationale du Quebec on November 4, 2005. Two issues of MOQ DOC have been published this year and are available on the Chapter website. The chapter made an $800.00 travel award in 2005 and two travel awards in 2006. They also made student membership awards and contributed $500.00 too the Conference welcome party.
Ontario Michele Laing reported that the Ontario chapter had a membership of 50 and attendance at meetings was usually 15-20. The goal is to increase the membership, especially by encouraging students to join. They will offer reduced membership rates and meeting fees for students. The chapter gave one $750.00 travel award in 2005 and three awards of $750.00 each in 2006. The fall meeting was held on October 14, 2005 at the Musagetes Architecture Library, School of Architecture, Cambridge, Ontario. A spring meeting is planned at York University where Mary Kandiuk will host at the new school for Fine Arts. New initiatives include an updating of the website. A members-only section will be created as well as a newsletter archive, travel award reports and photographs of meetings. The chapter is working on guidelines for the use of chapter funds and new fundraising ideas. A logo for the chapter will be established.
Northwest Jane Devine-Mejia reported that membership in the Northwest Chapter was 30-35. She noted that this chapter has hosted two national conferences in the last seven years. The fall meeting was held on November 4-5 at the Vancouver Art Gallery and the Vancouver Public Library. The 2006 meeting will be taking place in Portland, Oregon.
The chapter made a travel award of $500.00 and contributed $1,500.00 to the Conference welcome party. Jane Devine-Mejia will be moving to Brighton, England and Hollis Near will take over the Chair of the chapter.
9. Regional Representative Reports
Atlantic Region Ilga Leja reported that, as another librarian has been hired at NASCAD, the ARLIS membership in this region has doubled.
Ilga reported that NASCAD is searching for a new president and that the graduate program and the campus are expanding at an amazing rate.
Prairies Region Liv Valmestad reported that there are four ARLIS members in this region. She noted progress at the University of Manitoba and highlighted the Winnipeg Building Index, which contains more than 1000 digitized images of historic buildings in Winnipeg.
10. Forthcoming conferences
Jonathan Franklin reported that the ARLIS/NA conference in 2007 will be held in Atlanta, Georgia. Plans to hold a joint conference with the Visual Resources Association in San Diego in 2008 have turned out not to be feasible and the search is on for a venue for that meeting. The 2009 conference will take place in Indianapolis, Indiana.
11. The Melva Dwyer Award
The Melva Dwyer award this year went to the 60s Montreal thinks big, edited by Andre Lortie and published by the Canadian Centre for Architecture and Douglas & McIntyre. The award was presented at the Convocation ceremony by Marilyn Nasserden. Members of the jury were Kenlyn Collins, Marilyn Nasserden and Peter Trepanier. Jonathan thanked the jury members for their deliberations.
12. ARLIS/Canada Archives
The archives of ARLIS/Canada are now held by the current Canadian Representative to the ARLIS/NA Executive Board. Efforts are underway to set up a home for these at the National Gallery of Canada.
13. Canadian art museum libraries consortium proposal
Jonathan Franklin conducted a survey of museum libraries in 2005. Plans for creating this consortium are being investigated.
14. Canadian representative to: ArtBibliographies Modern, International Advisory Committee
Karen McKenzie has held this position for 12 years and would like to step down. She described this as a position that was not very demanding and frequently included a dinner at ARLIS conferences. Liv Valmestad volunteered to take over.
15. ARLIS/NA Update and chapter news: reminder
Jonathan reminded us to post news of chapter activities to ARLIS/NA Update.
16. Handover to new Chair
Jonathan Franklin introduced the new Canadian Representative, Marilyn Nasserden. Marilyn invites all of the chapters to send her news of upcoming meetings and asks that we give her items of interest that should be taken to the ARLIS/NA Board.
17. Other business
Jo Beglo reported that the International Federation of Library Associations (IFLA) will be meeting in Quebec City in 2008.
Carole Goldsmith extends the thanks of all Canadian members to the conference committee for a job well done.
Jane Devine-Mejia thanked Jonathan Franklin for his hard work as the Canadian Representative.
