1.    Welcome and introductions / Mot de bienvenue et de presentation
Chair James Rout called the meeting to order at 5:09 pm CST. The Chair welcomed attendees and everyone introduced themselves.

2.    Adoption of the agenda / Adoption de lordre du jour
On a motion made by Sylvia Roberts, the agenda for the 2011 meeting was adopted.

3.    Approve minutes of ARLIS/NA Canada members meeting in Boston
On a motion made by Tanja Harrison, the minutes from the 2010 meeting in Boston were approved.  

4.    Business arising from the minutes / Suites au procs-verbal
There was no business arising from the minutes.

5.    Report from the Chair / Compte rendu du president
The Chair presented his report with an overview of the Executive and meeting attended, as well as activities engaged in over the past year as part of his role over the last year.  The Chair encouraged members to create a profile on the ARLIS/Canada website and to post material.  The Melva J. Dwyer Award has been chosen from thirteen nominations.  Jury members also included Larrissa Berringer (ECUAD), Tanja Harrison (NSCAD), and Jennifer Garland (McGill).  The full report is available on the ARLIS/Canada website at http://www.arliscanada.ca/en/reports.

     Local chapter reports / Rapports des sections locales

  • Montreal / Ottawa / Quebec Chapter:  Jennifer Garland presented the 2010 annual report on behalf of President Brian Mekis (see below, Appendix 1).
  • Ontario Chapter: Victoria Sigurdson presented the 2010 annual report on behalf of Tammy Moorse (see below, Appendix 2).
  • Northwest Chapter:  No annual report was available at this time.  Bailey Diers has won the NW Chapter travel award for the Minneapolis conference. 

6.    Regional representative reports / Rapports des representants reginaux
Atlantic Region:  Tanja Harrison reported that she and Rebecca Young, both working at NSCAD University, appear to me the only two ARLIS members in the Atlantic Region.   Ms. Harrison hopes to increase membership over the coming year and bring more Atlantic art librarians to the conference in Toronto in 2012.  Two new Regional projects which NSCAD University is involved were announced: 1) CAIRN – the CAUL Atlantic Institutional Repository Network (
http://cairnrepo.org/) and           2) Knowledge for All (http://www.k4all.ca/).  

Prairie Region:  Liv Valmestad reported that she is the lone ARLIS member in her Region and hopes others will join in the future.   

7.    Upcoming conferences / Prochaines conferences
Chair of ARLIS/NA 2012 Jill Patrick overviewed ideas for theme focus at next year’s conference, including alternative formats, gaming, craft, sound art, and inclusive design.  She hoped to draw in papers from not just ARLIS members but participating from museums in Toronto and curators and artists the city.  Special interest groups will be targeted to draw them to interesting collections in the city.  She would like to have the overall conference balance the playful with the serious, be creative while respecting traditions.

Victoria Sigurdson described a panel discussion which took place recently and had a sample of members from across the arts community.  The planning committee hopes to keep these lines of communication open to encourage a variety of interest.

There was a discussion of language, and the committee members hope to have a call for papers in English, French and if possible, Spanish.   

Sylvia Roberts reported that the diversity committee requested she bring the idea forward that a First Nations artist be asked to speak at the conference.  Jill Patrick acknowledged the desire to bring in alternative voices, and encouraged members to send her any ideas for speakers they would like to her to approach.

Margaret English stressed the need for funding, also encouraged ideas and gave a call for volunteers.  She suggested a possible location for the welcome party is the Winter Garden Theatre if suitable sponsors can be found. 

8.    Melva J. Dwyer Award / Prix Melva J. Dwyer

Thirteen nominations were received for this year’s award.  James Rout announced the 2011 winner of the Melva J. Dwyer Award goes to co-publishers the Ontario Art Gallery and Douglas & McIntyre and editor Gerald McMaster for Inuit Modern: Art from the Samuel and Esther Sarick Collection which was published in November 2010.  A copy of the winning book was passed around for members in attendance to view. 

9.     ARLIS/NA Canada Web Site Report
James Rout encouraged people to use the new website.  He will send out a message to outline how to create an account on the website and log in to the website.  It can become a space for brainstorming.  Please send him your ideas. 

10. Other business / Sujets divers

James Rout gave an overview of next year’s Executive.  He will remain in the Chair’s role.  John Latour will be the new Chair for Montreal / Ottawa / Quebec.  Victoria Sigurdson will become the Chapter Chair ARLIS Ontario.  Liv Valmestead has agreed to stay on as the Prairie representative.  Tanja Harrison will be Secretary – Treasurer and will also remain the Atlantic Canadian representative.  The Northwest Chapter representative is to be announced.  

There are 560 attendees at the 2011 conference, 23 are Canadians; fewer than last year in Boston, but more than Indianapolis!

Membership & Activities

At the end of 2010 our membership numbered 37, down from the 45 members we had in 2009. An informal membership drive is planned for 2011.

The ARLIS/NA MOQ Chapter's activities consisted of two meetings; Montréal in the spring and Ottawa in the autumn. The spring meeting was held on Friday, June 4th at the National Circus School in Montréal. We began the day with our business meeting, after which we were led to the library, where Executive Director Marc Lalonde spoke to us about the school's history, mission, and activities. Librarian Anna-Karyna Barlati then presented the library and its collections, a multilingual, multi-format collection of over 10,000 items devoted to the circus arts. After having lunch at a lively neighbourhood bistro, we were treated to a spectacular juggling performance by Robert Webber, a 2010 graduate of the school. Afterwards we walked to TOHU, a unique entity that serves as a venue for circus training and performance as well as neighbourhood socio-economic development and environmental stewardship. Before our activities there commenced, we paused to let Peter Trepanier and Daphne Dufresne offer a tribute to Marilyn Berger on the occasion of her retirement. Josée Lavigne of TOHU then introduced us to her organization’s mission and activities. We concluded the day with a visit to TOHU's exhibitions La Fabuleuse histoire du cirque and Du permanent à l'éphémère : espaces de cirque. We were privileged to host James Rout, Canadian Member-at-Large, among the twenty-odd members and guests attending.


The fall meeting was held on Friday November 12 in Ottawa in the MacOdrum Library at Carleton University. This was a joint-meeting with ARLIS/NA Ontario, our first such meeting since 2002. The morning MOQ business meeting included a Toronto 2012 conference update by ARLIS/NA Ontario members Jill Patrick and Margaret English. After lunch on campus at Baker's Grille, we were treated to an animated presentation on Carleton's history by the university's archivist Patti Harper. Dr. Norman Vorano, Curator of Contemporary Inuit Art at the Canadian Museum of Civilization, then gave us a visually-stunning presentation on the recent acquisition of Inuit prints by the Museum.

Communications

One joint issue of the chapter newsletter MOQDOC (vol. 19, no. 2-vol. 20, no. 1, spring/fall 2010, printemps/automne 2010) was published in paper and PDF format (available on the website of the MOQ chapter). The issue was produced by a newly-formed editorial team consisting of Philip Dombowsky, Jennifer Garland, Alexandra Gregory, and John Latour. The chapter also maintains a website and an electronic mailing list.

At the spring meeting an ad-hoc committee was formed to explore the possibility of redesigning the chapter's website. Committee members are John Latour, Renatta Guttman, Élise Lassonde, Anna-Karyna Barlati, and Corina MacDonald. At the fall meeting John Latour presented the committee’s idea of creating a new chapter website using WordPress software.

Finances and awards

The financial situation of the chapter continues to be healthy. Our balance reported at the end of October was C$7,201.12. The professional development committee (Melinda Reinhart, Danielle Léger, and Patricia Black, who joined the committee in June) presented one award in 2010. Jennifer Garland, Liaison Librarian at McGill University, was awarded the Michelle Gauthier Travel Award (C$1,000.00) to attend the Annual Conference in Boston in April. Also, several “travel-to-meeting” bursaries (up to C$70.00) were given to members who had to travel out-of-town to attend an MOQ general meeting and who could not receive institutional funding.

The Student Membership award has been renamed the Marilyn Berger Student Membership award in honor of Marilyn Berger, who retired this year as Head of McGill University’s Blackader-Lauterman Library of Architecture and Art.

The following awards will be offered by ARLIS/NA MOQ in 2011: the Membership award (equivalent to US$120.00) to promote professional Development by supporting membership in the national organization (ARLIS/NA); and the Marilyn Berger Student Membership award (Equivalent to US$50.00) to promote professional development by supporting membership in the national organization (ARLIS/NA). A number of “travel-to-meeting” bursaries (up to C$70.00) will also be available to members who have to travel out-of-town to attend an MOQ general meeting and who cannot receive institutional funding.

May 14, 2010 – Ontario College of Art and Design University Learning Zone – 21 attended. Speakers on the topic of Ephemera:

  • Dr. Alison Syme, assistant professor of Art History at the University of Toronto Mississauga
  • Margaret English, librarian, Fine Art Library, University of Toronto and ephemera dealer
  • Pat Rogel, retired librarian, Toronto Public Library, ephemera dealer

Fall:

November 12-13, 2010 – Joint meeting with ARLIS Montreal, Ottawa, Quebec Chapter (MOQ) – Carleton University  - 13 attended from ARLIS Ontario (approximately as some joined us on Friday and some joined us on Saturday only)

Speakers:

  • Dr. Norman Vorano, curator of contemporary Inuit art, Canadian Museum of Civilization. Norman spoke on the recent acquisitions of Cape Dorset Inuit prints made by the museum to complete their collection up to 1997
  • Patti Harper, Head of archives and special collections at Carleton University, spoke about the photography collection at the University and the history of the campus

A tour was also arranged for the 13th of the library at the National Art Gallery of Canada

Travel Award:

Two travel awards were awarded in 2010 to Karen McKenzie, Art Gallery of Ontario and Jill Patrick, Ontario College of Art and Design – 2012 conference chairs - $1500

Student Outreach & Liaison:

This year we again participated in the annual Fall Professional Organization Information Day at the University of Toronto’s iSchool (formerly the Faculty of Information).

This year we had two very engaged student representatives who helped in all aspects of the chapter and the executive, including bringing forth the idea and organizing funding for a panel discussion, scheduled for March of 2011.

Budget & Fundraising:

We had very few expenses during the past year and made some money at the Spring meeting with attendance and a small ephemera sale. We had planned a Summer fundraiser, but this was cancelled due to the G20 events being held in Toronto at the same time. Our bank account at the fall meeting held a balance of $5856.89.

Since the fall meeting we had a small fundraiser in just before Christmas, which made the chapter $165.  We were successful in our application to ARLIS/NA for funding for our panel discussion in March of 2011. They are providing us with $400 towards this event.
